Information for Central Piedmont Employees

Before transferring records, please contact the Archives department at archives@cpcc.edu

To transfer physical records, please follow these steps:

  1. Please send records in sturdy boxes.
  2. Maintain the order in which the records were created and keep the papers in their original file folders. You may remove them from hanging folders, but if there is a file label with descriptive information on the hanging folder, please transfer that information to the standard file folder.
  3. Clearly label the boxes with the name of the transferring office, the box number (for instance, "President's Office, 1 of 3, 2 of 3, 3 of 3"), and any other pertinent information you think is necessary.

We may be able to assist with the transfer, or you can schedule a pick up through Facilities by submitting a School Dude ticket. Transfers may be sent via campus mail or dropped off to Central Piedmont Archives, Room 3250, Hagemeyer Library, Central Campus. at a pre-scheduled time/date.

To transfer born-digital records, contact the Central Piedmont Archives at archives@cpcc.edu to discuss the process.

The types of digital records we accept include:

  • PowerPoint presentations
  • Word and PDF Documents
  • Websites (Databases, Social Media)
  • Digital photographs
  • Digital Audio/Video recordings.

ITS maintains archiving of e-mail and other non-permanent digital records following the NC Community College Records Retention Schedule.

Information for Public Donations

If you are not a current Central Piedmont employee and are interested in donating born-digital files to the Central Piedmont Archives, please contact archives staff to discuss the process.

For ITS safety and security, in lieu of using email or a file transfer system, we prefer digital files be provided to us on a flash drive or external hard drive that can be vetted by our ITS department. Upon review and transfer of files into our system, the device(s) will be returned back to the owner.
